Florida voter registration drives

Follow every registration you collect to a counted ballot.

Your team scans a form at the table. Scanly tracks that person through registration, the mail ballot and the cure deadline, and writes what happened back to NGP VAN.

What Scanly does

Four things, in order, for every person your team meets.

01

Capture

A volunteer scans a licence barcode or a paper form in the field app, confirms the fields, and records consent.

02

Follow

Each person moves through twelve stages, from captured to voted. Registration is confirmed against the state file, not by asking.

03

Act

Scanly prepares the next message or task and says why. Consent and suppression are checked before it reaches you. You approve it.

04

Prove

Every send, edit and CRM write lands in an append-only log with who did it, when, and on what evidence.

Field app

Capture at the table

Scan a driver’s licence barcode or a filled paper form. Scanly reads it, the volunteer confirms every field, and anything unreadable stays blank.

  • Email and phone are asked for separately. They never go on the state form.
  • Consent records who asked, where, when, and on which channel.
  • The licence image is deleted once the fields are confirmed.

Cure queue

Rejected ballots, with a countdown

County vote-by-mail status files load daily. A rejected ballot appears here with the time left to fix it; under 48 hours the card turns red.

  • Signatures are compared as ballots arrive, so rejections surface for weeks.
  • A ballot that arrived late is marked not curable and gets no urgent message.
  • Reading county files needs an active DS-DE 146 in your organization’s name.
Cure queue

Ballots rejected for a curable defect.

Ask it, or tell it to do something

Questions are answered from your own records. Instructions come back as a typed action to approve — it never acts on a voter without a person saying yes.

  • Reads: who needs attention, who is reachable, what a deadline is.
  • Writes: create a task, invite a teammate, export a queue.
  • Approving is a separate step, and every action has an undo and a log entry.

Your CRM

Works on top of VAN, not instead of it

Field mappings are set once at setup. Scanly writes approved outcomes back and leaves your CRM in charge of everything it already owns.

  • An opt-out in either system stops sending in both.
  • Messages go out in your organization’s name, over Scanly’s registered number and sending domain.
  • A failed write stays visible on that record instead of failing the batch.

Suppression outranks everything above it. Every write also lands in the action log, append-only.

Built for Florida’s deadlines

Stored as data per county and per election, not written into message copy.

29 days
Books close 29 days out. A no-party registrant must change party by then to vote a closed primary.
7 pm
Mail ballots must be received by 7 p.m. on Election Day. Postmarks do not count.
Dec 31
Ballot requests and DS-DE 146 access both expire. Scanly renews the list in January.
Age 16
Pre-registrants stay dormant until their 18th birthday, then enter the sequence.

Questions

How does a registration get confirmed?

Scanly matches each person against the state’s monthly extract, so the record updates itself. Until it does, the stage reads “application delivered” — the Supervisor of Elections is who registers a voter.

How does it fit with NGP VAN and Solidarity Tech?

It runs on top of them. Field mappings are set once at setup, Scanly writes approved outcomes back, and your CRM stays in charge of the records it already owns. An opt-out in either system stops sending in both.

What does the AI actually do?

It reads your stored data and prepares the next message or task, with the evidence behind it and a plain-language reason. A person approves anything that reaches a voter, and every action it takes has an undo and a log entry.

What happens when a ballot is rejected?

County status files load daily. The voter appears in the cure queue with the time left to fix it, and Scanly branches on the rejection reason first — so a signature mismatch gets a same-day text, an email and a call task, and a ballot that arrived after the deadline gets an honest answer and a plan for next cycle.

Who do registrants hear from?

Your organization. Messages go out in your name, in the language the person was served in at the table, and replies come back to your team. They send over Scanly’s registered number and sending domain, so carrier registration and email authentication are not yours to stand up.

What happens to the licence image?

It is deleted once the fields are confirmed. Scanly keeps the approved fields, the evidence a reviewer needs, and the audit trail.

Where does Scanly work?

Florida, county by county. The deadlines, the cure window and the county status files are built to this state’s rules, and every client starts with one county run end to end.
